10-030 Visibility and Access – Course elements in a Conventional course

Overview

In a conventional course you can make course elements accessible by using the functionality of the visibility and/or the access tab. If you work with multiple groups in your course for example, you can make material accessible or visible for one specific group.

This setting should be used rarely and only when it is didactically meaningful, for example in order to make course contents visible/accessible at a later date or in order to set a deadline for a paper that is going to be transferred electronically.

Basically:

  • Restricting the visibility always also restricts the access.
  • If visibility/access rules are being set for a given course element Structure, the format structure will always transfer the restriction settings to course elements that are subordinated the restricted course element.

Important Steps

  1. Select the Authoring option and go to My courses to choose the course where you would like to restrict the visibility and/or access. The course then opens up.
  2. Choose the Administration option and select the Course editor. The course editor opens up.
  3. In the course structure to the left, click on the course element where you would like to change visibility and/or access.
  4. Choose the Visibility or Access tab. If you restrict the Visibility of the course element, the access will automatically be restricted as well. If you only restrict the access to the course element, then the course element can be seen but not opened.
  5. Choose the desired restriction or dependencies in the opened tab:
    • Blocked for learners means that the content of the course element will only be visible or accessible for the owner(s) or coach(es) and is invisible or inaccessible for anybody else. Further configuration options in this tab will not be available any longer.
    • Depending on date lets you restrict the course element’s visibility or access to a specific date or period of time.
    • Depending on group lets you restrict the course element’s visibility or access to one particular group.
    • Depending on assessment lets you restrict the course element’s visibility or access in combination with other course elements (Test, Assessment, Task and Structure). It is possible to make a survey only available for the people who passed a test, for example.
      1. A dropdown menu lets you choose the course element that this course element will be dependent on. Choose under Check value if OpenOlat should check for "passed” or the score that has been reached.
      2. Please note: If you choose Check for "passed” you need to have checked the option “Display passed/failed” in the configuration of the respective course element.
    • Only if one of the above-mentioned rules has been chosen, the option Apply rules also for owners and tutors appears (with the exception: Blocked for learners). If this option is applied,  visibility or access for owners and coaches will be restricted as well.
    • With the Show expert mode button you can make further settings. Please note: This function is not serviced by the Service Desk. more information about the expert mode can be found in the OpenOlat documentation.
  6. For the following course elements you will have another option for an advanced configuration: Survey, Form, Folder, Appointment scheduling, Document, Wiki, Blog, Podcast, File dialog, Notifications, Forum, Calendar.
    1. Open the tab Configuration or Learning content (for example Podcast learning content etc.).
    2. Switch the slider Show advanced configuration to the right of the page to “On”.
    3. Now you can define exactly which rights, roles, users and groups will get to the learning resource.
    4. You can also add time restrictions to the configurations.
  7. Click on the red X in the upper right-hand corner in order to close the course editor. Choose the option Yes, automatically in order to publish your changes (for details about the publishing of contents see HelpCard 10-020). The changes will then be published and applied to the course view.
